SALARY: Grade 5, £29,837 - £35,940 per annum (£27,219 - £35,940 per annum pro-rata) + Benefits
LOCATION: Coventry, West Midlands (CV1)
JOB TYPE: Full-Time, Permanent
WORKING HOURS: 37 hours per week / 41 weeks per year. Five days must cover the results period in August. Monday to Thursday, 8.00am – 4.00pm; Friday, 8.00am – 3.30pm
JOB OVERVIEW
A rewarding opportunity awaits an organised examinations professional to help students achieve their best through a well-run, compliant examinations service.
The Exams Officer leads the planning, preparation and administration of internal and external examinations, working with senior leaders, colleagues, students, parents, carers and awarding bodies.
With responsibility spanning entries, timetabling, access arrangements, exam security, results and post-results services, the Exams Officer keeps processes accurate and deadlines on track.
The Exams Officer also leads invigilators, supports regulatory compliance and contributes to the school census, examinations budget and related policies.
DUTIES
Your duties as the Exams Officer include:
• Examinations Planning and Compliance: Manage examination administration systems, annual planning, deadlines and communications, maintaining current knowledge of JCQ and awarding body regulations and using relevant online tools
• Entries and Candidate Records: Manage registrations, entries, candidate records, amendments, withdrawals, examination data and fees
• Exam Preparation and Access Arrangements: Coordinate timetabling, rooms, seating, resources and clashes, supporting the SENCO with access arrangements, reasonable adjustments and modified papers
• Secure Materials and Exam Delivery: Safeguard examination materials, prepare accommodation, deploy trained invigilators and manage examinations, irregularities and emergency arrangements
• Results and Post-Results Services: Plan and manage results distribution, use awarding body systems and reports, administer post-results services and manage examination certificates
• Invigilator Leadership: Lead, train and deploy the invigilation team, quality assuring delivery and maintaining regulatory standards
• Policies, Assurance and Stakeholders: Support inspections, investigations, conflicts of interest and malpractice processes, maintain policies and brief key stakeholders
• Budget, Census and Wider Administration: Monitor the examinations budget and invoices, coordinate and maintain the School Census, update post-16 course information and organise Year 7 CAT testing
CANDIDATE REQUIREMENTS
ESSENTIAL
• GCSE grade C or above (or equivalent) in English, Maths and ICT
• Full driving licence
• Previous experience working in an examinations role within an education setting
• Current knowledge of national examinations practice and procedures, including JCQ regulations
• Good working knowledge of databases, spreadsheets and relevant software, including SIMS
• Strong organisation and prioritisation skills, with the ability to work accurately under pressure and meet strict deadlines
• Excellent written and verbal communication skills with varied audiences
• Ability to maintain confidentiality and data security
• Ability to lead, train and develop colleagues and quality assure examination team activity
• Ability to handle and interpret data, prepare detailed reports, solve problems and oversee compliance systems
• Proactive approach, initiative and ability to maintain policies and procedures
• Ability to follow safeguarding procedures, recognise concerns and report them appropriately
• Flexible approach to work, including attendance at meetings and INSET days as required
DESIRABLE
• Relevant examination administration qualification, such as an Examination Officers’ Association BTEC Level 2-Level 4 award
