My client is seeking an exceptional Executive Assistant and Project Manager to join their dynamic longevity media startup at a pivotal scaling stage.
This is a contract position offering approximately 40 hours per week, combining strategic project management with high-level executive support for the CEO. Ideally you will be set up as self employed / be able to self invoice.
Key Responsibilities
Executive Support
+middot; Manage the CEO+rsquo;s complex schedule, diary, emails, calendar and travel arrangements
+middot; Handle both personal and company-related tasks with discretion and efficiency
+middot; Act as a trusted gatekeeper and first point of contact
+middot; Anticipate needs and proactively resolve issues before they arise
Project Management
+middot; Drive projects from conception through to completion, ensuring all deadlines are met
+middot; Build and implement processes and systems to support company growth
+middot; Create clear, comprehensive briefs for team members and external partners
+middot; Track multiple workstreams simultaneously, maintaining momentum across all initiatives
+middot; Support the wider team in staying on top of their deliverables
Operations + Administration
+middot; Coordinate event organisation and logistics
+middot; Handle general administrative tasks with meticulous attention to detail
+middot; Support team coordination and internal communications
+middot; Maintain filing systems and company documentation
Team Support
+middot; Ensure team members have the resources and clarity they need to deliver
+middot; Monitor progress across projects and flag potential bottlenecks
+middot; Foster a culture of organisation and accountability
Essential Requirements
+middot; Proven experience as an Executive Assistant and/or Project Manager in fast-paced, scaling environments
+middot; Exceptional organisational skills with demonstrated ability to manage competing priorities
+middot; Strong track record of building processes and systems that scale
+middot; Excellence in time management and ability to work autonomously in a remote setting
+middot; Outstanding written and verbal communication skills
+middot; Highly digitally confident with strong technical aptitude across various platforms and tools
+middot; Meticulous attention to detail
+middot; Ability to handle confidential information with discretion
+middot; Located in Central London or within easy reach, with ability to be in person one day per week
+middot; Flexibility to occasionally be contactable during evenings and weekends when needed
Desirable Skills
+middot; Bookkeeping experience or financial administration skills
+middot; Experience in media, publishing or startup environments
+middot; Familiarity with the longevity or wellness sector
Working Arrangements
+middot; Contract basis: Approximately 40 hours per week
+middot; Location: Primarily remote with one day per week in Central London
+middot; Hours: Normal office hours with occasional flexibility required
