Personal Assistant to Pastoral & Co-Curricular Heads

Location: Godalming, Surrey

Salary: £32,000 - £35,000 per annum

Vacancy Type: Full-time, mostly term time role, 37.5 hours per week, with requirements to work a week either side of each term. Normal days are Monday to Friday 08.30 - 17.00 hours (with an unpaid lunch hour)

The Role

They are seeking an experienced and forward-thinking Personal Assistant to support three of their core Senior Leadership Team members.

Reporting to both the Deputy Head (Pastoral) and Deputy Head (Co-curricular) and also providing support to the Assistant Head (Pastoral), the postholder will support the Pastoral and Co-curricular teams as they support the development and care of their pupils.

Key Responsibilities

The PA is responsible for or the smooth running and administration of the Deputy Heads' Offices, as the first point of contact with people from both inside and outside the School; thus, enabling them and Assistant Head Pastoral to perform their roles effectively.

* Managing and developing effective administrative systems to support the pastoral and co-curricular offices (at times this may include support for Senior Heads of House and Wellbeing teams)

* Dealing with incoming communication, often responding on behalf of the Deputy and Assistant Heads

* Meeting and greeting visitors

* Being proactive in managing time; organising and maintaining diaries (for DHP, DH(C) and AHP) and arranging meetings as required

* Screening phone calls, enquiries and requests, and handling them when appropriate

* Taking minutes at Heads of House meetings and other meetings as required

* Being efficient and accurate in administration of relevant pastoral behaviour management incidents including drafting appropriate correspondence

* Liaising with current and prospective parents, pupils and staff, especially other senior PAs

* Supporting the teacher recruitment process, for example, assisting with candidate tours of the School and coordination of programmes

* Organising central administration of House of the Week (HoW) duty rota

* Updating centrally and ensuring timely distribution to Houses of Boarding Handbook and related policies and notices

* Arranging travel, visas and accommodation as required

* Organising Pupil airport travel

* Producing documents, briefing papers, reports and presentations as required ▪ Organising and attending meetings, and ensuring the DHP, DH(C) and AHP are well prepared for meetings

* Providing practical and administrative support for key events, such as Carthusian Day and Open Days

Skills and Qualifications

* Good standard of education - including GCSE/equivalent in English language and mathematics

* A good track record of operating at EA/PA or similar senior administrative experience in a complex and demanding environment

* Highly proficient in the use of Microsoft Office, particularly Outlook (email, diary management etc) Word, Excel and PowerPoint

* High level of numeracy and literacy

* Strong organisational skills, with a track record in demonstrating experience to prioritise, plan ahead and carry out work so as to meet deadlines and achieve goals

Desirable:

* Degree level qualification

* Experience of iSAMS, SOCS and CPOMS or other schools-based academic administration system (or prepared to undergo training on the systems)

* Understanding and /or previous experience of working in a school environment

* Experience of ISI or Ofsted inspections from a support perspective
